Guidelines and forms for reporting changes to

This page contains guidelines and forms for club secretaries to report member
changes (new members, deletion of members, changes to address or other
member details).

Who needs to be informed of member
changes
|
|
Send the completed forms (or the information about member deletes, adds and changes
to contact details) to the district treasurer at:
treasurer@kiwanis.org.nz. (For postal address,
see the
District Directory). The district treasurer will process the
changes for Kiwanis International and insure that the information is passed on to
the district webmaster (who maintains the district address list).
In the case of a new member add, the club secretary needs ALSO to arrange payment of
the Kiwanis International new member add fee, see below.

How to report member changes
|
|
The change information can be sent in any format that the club secretary wishes
but the PREFERRED METHOD is the district form (see below). The
district form is especially recommended for new member adds.
As much information as possible about the member and the change that has occurred
is preferred but as a minimum just the full member name, club and the changed or
new details will suffice. Please be aware that a number of different district
officers will need to process whatever gets sent and some of us are absolutely
useless at deciphering handwriting.

Forms for reporting member changes

The NZ-SP District of Kiwanis has developed a small and easy to use form for
reporting member changes. This can be downloaded in your preferred language and
format as follows :

Either of these forms can be printed and filled out by hand
(please PRINT)
and then mailed to the district treasurer. Either format of the
completed form can also be scanned to a .PDF file (if a scanner
is available) and emailed to the district treasurer. The MS Word
document can be filled out and emailed to the district treasurer
(if the MS Word program is available).
A current club secretary who is registered with the Kiwanis International on-line
reporting system has the ability to make member adds, address changes and member
deletes on-line. Club secretaries are encouraged to learn how to use this
system but please be aware that changes made to the information in the
Kiwanis International reporting system do NOT get notified to the district
officers mentioned above. Please always use the district form for
reporting changes. Keeping the Kiwanis International reporting system up
to date is recommended.
In the case of a member transfer to another club, the club secretary needs
ONLY to send a delete form. It is the responsibility of the secretary
of the club that the member is joining to send an add form if his/her club is in
agreement to accept the transferring member.
In the case of a new member add, the club secretary needs to ALSO pay the
Kiwanis International new member add fee. For the amount of the new member add
fee and payment instructions, see the following paragraphs.

Kiwanis International new member add fees
|
|
Kiwanis International charges Kiwanis clubs an annual membership fee for each
member as at 30 September of the preceding financial year (international dues
- see below). For new
members joining during the 2021/2022 year, in lieu of the full international dues
for the year in which they join, Kiwanis International charges the club a new member
fee. This new member fee varies according to the month in which
the new member joins.
The amount of the new member fee is also dependant on the "tier" of the country in
which the club is based. All countries in the NZ-SP District are Tier A
countries except Vanuatu which is Tier C. For the current year, the new
member fee can be seen in the following table. All amounts
are in U.S. dollars.

The new member fee is payable to Kiwanis International for each new member joining
in the current Kiwanis year and is due at the same time as reporting the new member
details. Payments should be made in U. S. dollars to Kiwanis International as
set out below. However, in order to minimize the cost of making small value
international fund transfers, the district treasurer recommends that payments of new
member add fees be held until the beginning of the following year when they can be
paid together with the international dues.

Making payments to Kiwanis International
|

Payment by check is still common in the United States but the check must be drawn on
and American bank and be denominated in U. S. Dollars. You might inquire at your
bank about the procedures and fees for buying a U. S. dollar check which would then
need to be mailed to Kiwanis International, Accounts Receivable, 3636 Woodview
Trace, Indianapolis, Indiana, 46268, USA.

treasurer. To ensure that payments do not go missing please email the
details of your payment (when and how your club has paid and the total of dues
and/or new member fees) to the
district treasurer at treasurer@kiwanis.org.nz and to
Kiwanis International's Regina Dreessen
at rdreessen@kiwanis.org.

A Note about Kiwanis International dues
|
|
Kiwanis International charges Kiwanis clubs an annual membership fee for each
member as at 30 September of the preceding financial year. For the
2023/2024 year, this fee (international dues) is unchanged at US$23 for
"Tier C" countries (Vanuatu) and US$52 for "Tier A" countries (all other
countries in our district). The club will be invoiced for this amount via the
District Treasurer and is to be paid as per invoice as set out above.
